How to Sync an iPhone With Your Outlook Calendar or Google Calendar

The iPhone syncs to a variety of calendars, including Microsoft Outlook and Google Calendar. To sync an iPhone calendar with Microsoft Outlook, you must connect the iPhone to the computer and open iTunes to initiate the transfer. The process is more straightforward for users of Google Calendar. There is also a way you can sync to both Outlook and Google Calendar wirelessly. This method employs Google Calendar Sync, which uses Google Calendar as a base in which to sync to Outlook.

Sync the IPhone to Outlook

Connect the iPhone to the computer using the USB sync cable and open iTunes.

Click on the iPhone entry under the device list.

Click on the "Info" tab. Check "Sync calendars with" and select Outlook from the drop-down list.

Determine which Outlook calendars to sync with the iPhone. Check the box next to "Do not sync calendars older than X days" if you want to limit the synchronization of older items to your iPhone calendar. Indicate the number of days for which to exclude calendar items.

Click on the "Sync" button to apply the changes.

Sync Google Calendar with Outlook

Open the Web browser on your computer. Download Google Calendar Sync from the link on the "Getting Started with Google Calendar Sync" Web page (see Resources).

Click on "Save File" when the Google Calendar Sync installation dialog appears. Browse to the desired destination and click on the "Save" button.

Open the installer file if it does not launch automatically by double-clicking the file name in the download window.

Click "OK" to confirm that you understand the installer is an executable file.

Review the user's agreement and click "I Agree." The installation will now proceed. Follow the onscreen instructions to complete the installation.

Enter your Google account information on the signin page and choose a sync setting and timing that best meets the needs of your schedule.

Close the program.

Right-click on the system tray to monitor the progress of the synchronization. When synchronization occurs, the program will show send and receive arrows in the system tray.

Sync Google Calendar To the IPhone

Tap the "Settings" icon on the iPhone's Home screen.

Tap "Mail, Contacts, Calendar" in "Settings" and choose Gmail from the list of options.

Enter your Google account information and brief description for the account. Tap "Next." Gmail will attempt to verify your account information. If the verification is successful, the program will bring you back to the account setup page. If the verification is not successful, re-enter your Google account information and tap "Next."

Toggle the Calendar to "ON" in the account setup window.

Save your settings and verify that calendar items are appearing. It may take a few minutes for your calendar to sync completely and for the Outlook calendar items to show up on your iPhone via Google.


  • Google Calendar Sync is compatible with Microsoft Outlook 2003 and higher and on computers operating Windows XP and higher. Google Calendar Sync will not work with the 64-bit version of Windows XP.
